Ta, Dist, :, Sanand, Ahmedabad, Gujarat Reports To: Director Job Summary: We are looking for a Back Office Executive with experience in the manufacturing and fabrication industry. The role includes handling documentation, quotation preparation, order processing, client coordination, and follow-ups. The ideal candidate should be detail-oriented, organized, and capable of supporting the sales and engineering teams effectively. Key Responsibilities:Quotation & Offer Preparation: Get costing details from departments. Prepare and send quotations with cost and margin sheets. Submit quotations online. Follow up on offers through phone and email. Convert offers into orders and coordinate internally. Order & Documentation Management: Create sales orders as per purchase orders. Prepare internal order notes (IOM) and maintain records. Create BOM from related departments. Enter and update inquiries in ERP (ORECS). Prepare contractor work orders. Client Communication & Coordination: Communicate with clients about offers, invoices, dispatch, and payments. Follow up on payments and do courtesy calls. Arrange material dispatch and handle billing. Plan engineers for installations and complaints. Coordinate engineer site visits and site measurements. Follow up on material related to IOM. Manage payment receipts and returnable materials. Reporting & Data Management: Maintain business sheets and complaint logs. Keep records of pending spare orders. Enter TA/DA vouchers. Prepare monthly quotation and inquiry reports. Track AMC service data and spare order updates. Work with sales team on overdue payments. Record installation issues and engineer presence. Technical & Project Support: Talk to clients about installations and technical matters. Discuss quotations with technical departments. Estimate costs for installations. Collect project data and help with technical drawings. Visit sites as needed. Finalize contractors and prepare work orders. Attend meetings related to fabrication and installation. Support sales in business growth. Help with engineer incentives and keep proper records. Complete vendor registration forms. Skills & Qualifications: Graduate in any field (Commerce or Technical preferred). Experience in manufacturing/fabrication back-office work. Basic ERP and MS Office knowledge. Good communication and coordination skills. Ability to multitask and manage deadlines. Work Schedule: Office-based job with occasional site visits. Standard working hours.
