Job Title: Back Office cum Sales Operations Executive / Sales Support Executive / Sales Coordinator / Operations Assistant Department: Sales & Marketing / Operations / Administration Reports To: Sales Manager / Operations Manager / Business Head Location: Ichalkaranji, Maharashtra, India (This role is typically office-based). Job Summary: We are seeking a proactive, organized, and detail-oriented Back Office cum Sales Operations Executive to support our sales team and ensure seamless operational efficiency in our Ichalkaranji office. This hybrid role involves a blend of administrative tasks, sales coordination, data management, and customer service to facilitate the entire sales cycle from lead generation to post-sales support. The ideal candidate will be a meticulous individual with excellent communication skills, capable of handling multiple responsibilities in a fast-paced environment. Key Responsibilities: Sales Process Support & Coordination: Assist the sales team in preparing and formatting sales proposals, quotations, presentations, and other client-facing documents accurately and promptly. Process sales orders, invoices, and purchase orders with precision, ensuring all details are correct and coordinating with logistics/production for timely delivery and dispatch. Coordinate efficiently with various internal departments, including sales, production, logistics, dispatch, and finance, to ensure seamless order fulfillment and resolve any operational bottlenecks. Track the status of orders and deliveries, providing updates to the sales team and customers as required. Support the sales team in achieving their targets by streamlining administrative tasks and enhancing overall sales process efficiency. Back Office Operations & Data Management: Perform accurate data entry and maintain comprehensive records in the company's CRM (Customer Relationship Management) system or other relevant databases. Manage and update customer information, sales leads, and historical sales data meticulously. Prepare and generate regular sales reports, daily/weekly/monthly MIS (Management Information System) reports, and sales performance analyses for management review. Maintain and update product catalogs, price lists, and marketing collateral, ensuring all information is current. Assist with general administrative tasks such as filing (physical and digital), record-keeping, managing office supplies, and ensuring office organization. Customer Interaction & Service: Serve as a key point of contact for customer inquiries related to orders, delivery status, product information, and general support via phone, email, and potentially instant messaging platforms. Address basic customer complaints or issues promptly and professionally, escalating complex matters to the relevant sales or service personnel. Provide essential post-sales support, including coordinating product returns, exchanges, or warranty claims if applicable. Build positive relationships with clients through effective communication and proactive assistance. Compliance & Process Improvement: Ensure all sales and operational processes adhere to company policies, procedures, and relevant regulatory guidelines. Identify opportunities for process improvement within back-office and sales operations to enhance efficiency, reduce errors, and improve overall productivity.
