    Assistant Manager/Deputy Manager Operations (Security/HK/Sp. Projects)
  • Key Role:

    Responsible for the smooth coordination of operations and backend activities by managing and analyzing process data, and coordinating with internal stakeholders to achieve

    Process Objectives

Key Responsibilities & Deliverables

This role focuses on operational excellence, data management, financial compliance, and team development.

1. Operations Management & Compliance (BMS)

  • Achieve process objectives through the effective implementation and deployment of the

    Business Management System (BMS)

    .
  • Monitor backend operations performance monthly, identify improvement areas, and ensure BMS document control.
  • Create awareness of processes and objectives among the team.

2. Data & MIS Reporting

  • Understand requirements for and ensure the preparation, validation, and timely submission of accurate

    Management Information System (MIS) reports

    .
  • Submit

    Attendance data

    within the Turnaround Time (TAT) to relevant departments.
  • Follow up with team members for data collation/alteration and provide suggestions based on MIS observations.

3. Financial Coordination (Billing, Payroll, Invoices)

  • Ensure the

    timely submission of Billing and Payroll data

    , vendor invoices, and expense vouchers to relevant functions within the TAT.
  • Resolve discrepancies related to attendance, billing, expenses, and vendor invoices.
  • Communicate, coordinate, and follow up with internal functions and management as necessary.

4. Team Development & Management

  • Build a

    capable and motivated team

    to achieve departmental targets.
  • Assess team capabilities, restructure as needed, and identify new positions.
  • Coordinate with HR for candidate interviews, selection, and smooth

    induction

    of new employees.
  • Conduct competency gap analysis, identify training needs, and verify training effectiveness.
  • Manage performance appraisal and recommend performance-based

    Reward and Recognition

    .

5. Self-Development

  • Proactively

    develop own skills

    in areas such as

    Advanced Excel, Presentation, and ERP Software

    to enhance role performance.
  • Conduct self-introspection (SWOT analysis) and participate in relevant training/coaching sessions.
