Role Overview

Assistant Manager – Purchase & Administration


Key Responsibilities

Procurement & Purchase:

  • Manage the complete purchasing cycle — from sourcing and vendor evaluation to final procurement.
  • Identify reliable suppliers that meet The Postcard’s quality and sustainability standards.
  • Negotiate pricing and contracts while ensuring timely and cost-effective procurement.
  • Coordinate with property teams for operational and project-related requirements.
  • Maintain detailed records of purchases, approvals, and vendor performance.


Administration:

  • Oversee day-to-day office administration and facility management at the corporate office.
  • Manage vendor contracts and service agreements for office operations.
  • Support travel, logistics, and accommodation arrangements for corporate and resort teams.
  • Ensure compliance with company policies, audit standards, and statutory requirements.
  • Assist in organizing corporate events, meetings, and training programs.


Requirements

  • Bachelor’s degree in Hotel Management, Business Administration, or a related field.
  • Minimum 5–7 years of experience

    in Purchase and Administration, preferably in

    luxury hotel brands

    .
  • Strong negotiation, vendor management, and budgeting skills.
  • Excellent organizational, analytical, and communication abilities.
  • Proficiency in MS Office and hospitality ERP systems.
  • Detail-oriented with a commitment to upholding The Postcard’s brand values of quality and integrity.


Preferred Candidate Profile

  • Experience in

    pre-opening

    or

    multi-property operations

    is an advantage.
  • Should demonstrate discretion, professionalism, and a collaborative work ethic.
  • A self-starter with the ability to work independently while aligning with brand objectives.
