Ashland has an exciting opportunity for an Assistant Manager - Admin to join our Resource Group Team at our Mumbai office. This is a very visible, significant role within the Company and the Life Sciences function. This position will report to General Manager. The Assistant Manager - Admin is responsible for: Looking after day to day office activities, ensure that the office is maintained in a neat and clean manner. Ensure smooth security operations in the entire facility. Manage of petty cash / issuing and reconciliation. Manage repairs, maintenance replacement of office equipment, appliances, furniture etc. Coordinate with vendors like stationary, air conditioning, electricity, computers, IT, water purifiers, civil work, carpentry work, fire extinguishers, pest control, office plant service, telephone lines, mobiles etc... for office maintenance. Will be responsible for all facilities including any upcoming production sites in Mumbai. Vendor management (taking care of vendors, inflow outflow of materials) Vendor analysis, monitoring, price negotiation, AMC management, developing vendor/supplier base for cost effective procurement and timely supply of office equipment, stationery and office contingency items, utility items. Pantry management: manage consumable supplies and facility provided, like vending machine, cutlery etc. Management of conference rooms, training room and making necessary arrangements for the meeting /training/interview. Manage food arrangements for all visitors, inhouse meetings and conferences. Setting up tie up with various hotels, providing options to employees for food services. Support other resource functions like HR, procurement, EHS etc. as the need be. Coordinate in planning and organizing company events like annual days, festival celebrations, Birthday Celebrations etc. Coordinate for desk allocation/change. Set up desk for new joiners and arrange all facilities. Overlook the Travel desk function, assist in Travel related activities as and when required in absence of Travel-admin executive. Assist in housekeeping activities as and when required. Support in Management Activities: Prepare MIS reports for MD Prepare expense reports for MD Analyse and suggest cost effective options to MD Read and vet contract on behalf of MD Checking all bills before approval by MD Education/Experience: Any Graduation. 7-10 years of experience Proven experience at office administration Working knowledge of MS Office Excellent communication and negotiation skills Well-organized and reliable Key Interactions: Internal: All employees Visitors External: Suppliers, venders.
