Job Description

Coordinate administrative procedures and systems and devise ways to streamline processes
Accountable for office upkeep. Oversee facilities services and maintenance activities
Oversee the operation and maintenance of Air-conditioning (HVAC), UPS, CCTV, Access control, Fire detection Fire Hydrant systems, Ventilation System etc.
Partnering collaboratively with service providers in the consolidation and implementation of preventative maintenance and emergency plans and ensure the functionality of critical facility systems and equipment.
Lead and coordinate the employee transport program and ensure all program and policy specifications such as car selection, maintenance, repairs and driver safety are within compliance
Manage schedules and deadlines as per admin calendar
Monitor inventory of office supplies with attention to budgetary constraints
Monitor costs and expenses to assist in budget preparation
Organize and supervise other office activities (renovations, event planning etc.)
Manage new office set-up as required
Keep abreast with all organizational changes and business developments
Manage the performance and relationship processes with vendors including monitoring and ensuring compliance to contracts and vendor non-performance management.
Ensures prompt processing of invoices enabling timely payment to vendors
Serve all stake holders with approach of Responsiveness, Cooperation, collaboration
Maintain accurate records as directed
Maintain proactive relationship with the customers and service providers
