Job Description

The Key Responsibilities for the candidate as per the following:-


Export Operations

• To Oversee end-to-end export logistics, including planning, documentation, regulatory compliance, and dispatch from plant/warehouse.

•To Review and approve proforma invoices, commercial invoices, packing lists, SDF/EDF, BL/AWB instructions, draft BL/AWB, and ensure accuracy.

•To Ensure pre-shipment and post-shipment documentation is complete and timely submitted (COO, MSDS, COO, Health Cert, Insurance, Etc.).

• To Handle narcotic & controlled substance exports, ensuring alignment with NCB, DGFT, CDSCO, and import permit conditions—quantity, routing, consignee, validity, etc.

•To Coordinate with CHA/forwarders for vessel/flight planning, container booking, stuffing, VGM, cut-offs, and ensure no rollover or delays.

•To Monitor warehouse nomination, CFS planning, stuffing type (factory/dock) and ensure correct cost allocation.

•To Resolve real-time issues with customs, carriers, CFS, ports, and destination agents


Import Operations

•Manage import clearance, including BOE filing, classification, duty structure, notifications, preferential duty benefits, and customs coordination for Raw materials/Drugs/Capital Goods/Market Complaint Samples/Spare Parts

•Review LC terms, advance payments, and ensure shipment tracking, timely clearance, and minimal demurrage/detention.

•Manage imports under Advance Authorisation/DFIA/EPCG, ensuring consumption norms, yield monitoring, and reconciliation.


DGFT / ADVANCE LICENSE / EXPORT INCENTIVES

•Complete lifecycle management of:

•Advance Authorisation (application, license management, bond execution, export obligation monitoring, closure, redemption).

•DFIA, EPCG, RoDTEP, RoSCTL, SEIS and any applicable export incentive schemes.

•SION norms, wastage norms, yield exposure, policy circular 9 compliance, and reconciliation statements.

•Prepare and file online applications, maintain documentation, and coordinate with DGFT until final issuance/closure.

•Ensure timely realization of incentives in ICEGATE/DGFT portals


ECGC / INSURANCE & RISK MANAGEMENT

•Manage all ECGC policies (WTPCG/STP), obtain credit limits, monitor buyer exposure, and ensure compliance with ECGC norms.

•Handle claim documentation in case of payment default or political risk.

•Manage marine insurance for shipments (open policy, specific declarations).

* Renewal of all Policies timely


COMPLIANCE, AUDITS & GOVERNANCE

•Ensure adherence to:

•DGFT FTP & HBP guidelines

•customs regulations & notifications

•CDSCO, FDA, NCB, narcotic rules (especially for controlled substances)

•INCOTERMS, BIS, EXIM policy, WHO-GDP guidelines

•Lead internal and external audits for EXIM.

•Ensure sanctions compliance, restricted party screening, and documentation accuracy.

•Maintain SOPs for all export/import activities and ensure timely revisions.


COST CONTROL & FREIGHT MANAGEMENT

•Negotiate with freight forwarders for sea/air freight, CFS charges, CHA charges, and monitor performance.

•Control logistics cost through benchmarking and rate contracts.

•Review and validate quotations and ensure no hidden charges and correct cost bifurcation.


TEAM LEADERSHIP & SYSTEMS

•Lead and train a team handling export/import logistics and documentation.

•Implement digital controls (SCM EXIM Documentation systems).

•Drive accuracy, efficiency, and continuous improvement in EXIM processes.


KEY SKILLS & COMPETENCIES

•Thorough understanding of DGFT, Customs, CDSCO, NCB, FDA, ECGC regulations.

•Expertise in Advance Authorisation, EPCG, RoDTEP, RoSCTL, and other incentive schemes.

•Strong knowledge of incoterms, freight markets, CHA operations, and international trade laws.

•Experience in pharmaceutical EXIM, especially controlled substances (preferred).

•Excellent communication, stakeholder management, and negotiation skills.

•Proficiency in SAP/ERP, ICEGATE, DGFT portals.


QUALIFICATIONS & EXPERIENCE

•Graduate/Post-Graduate in Supply Chain, International Trade, Commerce or relevant field.

•15–18 years of hands-on experience in Export–Import & Compliance (pharma experience preferred).

•Strong exposure to regulatory shipments, advance licensing, and export incentives.
