Job Description

Purpose : Responsible for administrative tasks according to set policies and procedures in support of one or more officers, executives, division/unit heads, or managers. May be assigned to various functional areas throughout the company. • Provides a wide variety of administrative and staff support services to an organizational unit. Scope : Senior level job with considerable work experience • Has developed specialized skills or is multi-skilled through job-related training • Completes a variety of atypical assignments • May solve problems of a recurring nature, but takes a broad perspective to problems and may identify new, less obvious solutions • Completes work with a limited degree of supervision • Acts as an informal resource for colleagues with less experience • May lead a team in the performance of a variety of tasks that are generally routine • May have specialized external certification (technical roles) Primary Responsibilities : May perform one or more of the following: • May coordinate messages, appointments, and information to callers, file maintenance, department office supplies and mail. • May assist in the preparation and control of records, statistics, and reports regarding operations, personnel changes, etc. • Administers programs, projects, and / or processes specific to the operating unit served. • May serve as administrative liaison with others within and outside the company regarding administrative issues related to purchasing, personnel, facilities and operations. • May assist in budget preparation and control activities. • Research, compiles and proofs word processing assignments. • All other duties as assigned. Position Objective : We currently have an opening for an administrative coordinator/assistant who will support key administrative processes for our critical business functions. The role will be based in India. This role will require someone who will be flexible, proactive, extremely professional with good judgment and comfortable managing multiple priorities at once. Must be able to learn the organization quickly and anticipate the needs of the business supported. The ideal candidate has prior experience and understands how to prioritize demands from multiple sources. The perfect candidate must be extremely self-disciplined and comfortable working with both local colleagues and colleagues in a location away from the executive team supported. A career-motivated individual who seeks future progressive responsibilities or roles is also highly desirable. Summary of job responsibilities/essential functions : Administer a large volume of purchase orders and gather supporting documentation including SOWs, LOEs. Work closely with vendors for W9s. Create purchase orders in Ariba system and update required excel spreadsheets. Obtain approval from managers to approve vendor payments and track. Research payment schedules for vendors and prepare/submit check requests when required. Advanced Microsoft 365 skills, including Teams, PowerPoint, Excel, Word, and Outlook, SharePoint May also be requested to help complete expense reports for travel and meetings; ensure expenses are accurate and timely. Excellent communication skills, both written and verbal Technically savvy; run Teams meetings as required Proactively manage work priorities without direct supervision and exercise good judgment Effective problem-solving skills and decisive; must be highly dependable, organized and a self-motivator Work daily with department leaders to prioritize actions Handle confidential information off all types discreetly Quick leaner who can assimilate into a new environment quickly Qualifications : 5 years of experience in a business environment with administrative knowledge and working comfortably with senior level executives #L1-SM1 #L1-Remote
