Job Overview: The Administrative Executive is responsible for providing administrative support and ensuring the smooth and efficient operation of the office or department. This position will involve managing day-to-day office tasks, scheduling meetings, coordinating events, handling communication, and assisting with general office management duties. The role requires a high level of organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. Key Responsibilities: Oversee day-to-day office operations to ensure efficiency and organization. Manage office facilities and handle any maintenance issues. Organize and maintain files, records, and other important documents in an efficient manner. Coordinate with the Housekeeping Staff, House Maids, Drivers, Security & Production Boys to ensure that their tasks are done seamlessly Manage the people seeking for charity & help to the organisation via any form of communications. Overseeing the responsibilities of Masijid , Mosque & other related entities regular offerings and donation for its welfare and ensure its done effectively. Properly organize and store important business documents like contracts etc Provide support to the HR department , Accounts department for any team-related tasks. Act as the point of contact for all office-related queries, ensuring effective communication among staff and different departments. Liaise between teams to ensure tasks are completed on time and within scope. Regularly visit Companys other locations with HR to track over the maintenance and update for the betterment in the infrastructure and work environment. Ensure the Vehicle (Car & Bike ) Insurance / Maintenance , Building Insurance are updated seamlessly Coordinate training sessions related to employee safety & first aid. Personal Attributes: Proactive and self-motivated with a strong work ethic. Ability to work under pressure and meet deadlines. Excellent interpersonal skills and a collaborative team player. Skills: Strong organizational ,Problem-solving ,decision-making and time management skills. Excellent written and verbal communication skills. Fluency in English, Hindi and Tamil Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) Ability to manage multiple tasks simultaneously. Ability to adjust to changing demands and work in a dynamic environment. Attention to detail and accuracy. Ability to handle confidential information with discretion. Strong problem-solving and decision-making skills. Educational Qualification & Experience: Bachelor’s Degree (preferred): A degree in Business Administration , Office Management , Human Resources or a related field is typically preferred. At least 2-3 years of experience in an administrative or office support role, preferably in a similar industry or office environment.
