Role Overview

The Administration Assistant plays a crucial role in ensuring the smooth functioning of daily academic and administrative operations at VJIM. The ideal candidate is organised, energetic, tech-savvy, and capable of managing multiple tasks efficiently in a fast-paced academic environment.

Key Roles & Responsibilities

  • Assist in day-to-day academic and administrative operations to ensure seamless functioning of the institute.
  • Coordinate with students, faculty, and staff to support academic activities, scheduling, classroom management, examinations, and events.
  • Maintain and update academic records, timetables, student databases, and documentation as per institutional guidelines.
  • Support admission-related activities, orientation programmes, academic audits, and accreditation processes.
  • Ensure smooth communication between departments by facilitating notices, circulars, and updates.
  • Handle student queries, provide guidance when required, and escalate concerns appropriately.
  • Assist in organising workshops, seminars, industry talks, and faculty meetings.
  • Manage logistical arrangements for academic and administrative events.
  • Ensure compliance with institutional policies and maintain confidentiality of academic information.
  • Travel when required to support institutional activities, outreach events, or administrative coordination.
  • Any other responsibility assigned by the Administrative Officer/Dean/Director.

Desired Candidate Profile

  • 58 years of experience

    in academic administration, preferably in reputed higher-education institutions.
  • Tech-savvy

    with proficiency in MS Office, Google Workspace, ERP/Academic Management Systems.
  • Focused, energetic, and hyperactive

    with the ability to work efficiently under deadlines.
  • Strong communication and coordination skills

    with the ability to manage interactions across students, faculty, and staff.
  • Organised, diligent, and detail-oriented

    with excellent documentation skills.
  • Willingness to learn and grow

    , adapt to new systems, and take initiative.
  • Ability to handle student discipline, faculty coordination, and administrative multitasking

    effectively.
  • Willingness to travel

    for academic and administrative work.
  • Problem-solving mindset with the ability to stay calm in high-pressure situations.
