Role & responsibilities

Role Summary

The Executive Administration will be responsible for managing day-to-day administrative operations, ensuring smooth functioning of office activities, coordinating facility management, and supporting employees with administrative requirements. The role demands strong organizational, communication, and multitasking abilities.

Key Responsibilities

General Administration

  • Oversee day-to-day office operations and ensure a well-maintained work environment.
  • Manage office supplies, inventory, stationery, and housekeeping activities.
  • Coordinate with vendors, service providers, and maintenance teams.
  • Monitor housekeeping staff, security staff, and ensure upkeep of premises.

Facility & Asset Management

  • Maintain records of office assets, equipment, and AMCs.
  • Handle repairs, maintenance requests, and follow-up with vendors.
  • Ensure timely renewal of facility contracts and service agreements.

Employee Support

  • Provide administrative support to employees, including travel arrangements, accommodation, ID cards, access cards, etc.
  • Coordinate employee onboarding formalities related to admin support.

Documentation & Compliance

  • Maintain documentation for admin activities, service logs, bills, and records.
  • Process admin-related invoices and ensure timely payment follow-up with accounts.
  • Ensure adherence to company policies, safety norms, and statutory guidelines.

Event & Coordination

  • Assist in organizing company events, meetings, conferences, and celebrations.
  • Coordinate with internal departments for administrative needs.

Required Skills & Competencies

  • Strong communication and interpersonal skills
  • Good knowledge of MS Office (Word, Excel, PowerPoint)
  • Vendor management skills
  • Time management and multitasking abilities
  • Problem-solving and negotiation skills
  • Ability to handle confidential information

Qualifications & Experience

  • Graduate in any discipline (Preferably BBA / B.Com / BA).
  • 9-11 years of experience in administrative or office management roles.
  • Experience in facility management or corporate admin will be an added advantage.
