Job Description

The Accounts & Despatch Executive will manage daily accounting operations, logistics coordination, and export-import documentation. The candidate must have strong knowledge of Tally ERP, GST compliance, and hands-on experience in import & export processes, including documentation and shipment coordination.

Key Responsibilities1. Accounts & Finance

  • Maintain all day-to-day accounting entries in Tally ERP.
  • Prepare and verify purchase, sales, journal, payment, and receipt entries.
  • Manage GST invoices, e-way bills, and delivery challans.
  • Handle vendor reconciliation, debtor/creditor management, and bank reconciliation.
  • Prepare monthly financial statements, cash flow, stock statements, and audit reports.
  • Assist in GST filings, TDS workings, and statutory compliances.

2. Despatch & Logistics

  • Manage daily despatch planning based on customer orders.
  • Coordinate with production/warehouse teams for timely material readiness.
  • Prepare despatch-related documents:
  • Tax Invoice
  • Delivery Challan
  • E-way Bill
  • Packing List
  • Transport Documents (LR, Bill)
  • Arrange transportation and coordinate with transporters/couriers.
  • Track shipment status and update customers regularly.
  • Maintain accurate despatch records and ensure on-time deliveries.

3. Import & Export Documentation

  • Prepare export documents:
  • Commercial Invoice
  • Packing List
  • Export Declaration
  • Shipping Bill
  • BL/AWB coordination
  • Certificate of Origin
  • Coordinate with CHA, freight forwarders, and shipping lines.
  • Monitor export shipment schedules and documentation accuracy.
  • Handle import documentation including BOE, packing list, invoice verification.
  • Track import consignments and coordinate customs clearance.
  • Maintain all import/export MIS and ensure compliance with DGFT, Customs & GST rules.

Required Skills & Qualifications

  • Minimum 6 years experience in Accounts + Despatch (export-import environment preferred).
  • Strong knowledge of Tally ERP, GST, and accounting principles.
  • Hands-on experience in import/export logistics and documentation.
  • Good working knowledge of MS Excel & MS Office.
  • Excellent coordination, communication, and follow-up skills.
  • Ability to multitask and work independently.

Optional / Added Advantage

  • Knowledge of TDS, GST returns filing, and banking formalities (LC, TT, BG).
  • Experience in manufacturing or export-oriented companies.

Job Type: Permanent

Pay: ₹25,000.00 - ₹32,000.00 per month
